Red Shoe Productions requires an Office Manager 

The successful candidate will be responsible for taking control of all administration aspects of the company, which will include ensuring a smooth admin function while also looking after our head office in Dublin and Waterford.

This role often acts as the interface between individual crew members and the company supervisory structure. The role is a wide-ranging one and it may in time involve managing staff and includes but is not limited to the duties outlined below.

This role requires a high degree of flexibility and common sense, built on several years of experience within a busy office environment in a film or TV office. Excellent people skills are a must and a collaborative attitude is essential. Accuracy is essential and company records must be kept correctly filed and stored.

Responsibilites

  • Act as PA to senior staff – where appropriate, organise their meetings, travel arrangements and appointments – ensure these are communicated to them so they may update their calendar.
  • Work closely with the managing director and Production Accountant in an administrative capacity for the company
  • Manage incoming post and distribute to appropriate recipients.
  • Add content to Red Shoe’s website as appropriate or request new content from relevant staff when required.
  • Answer calls and take messages, appropriately screening all phone calls.
  • Deal with Suppliers in ordering all supplies for the studio as well as managing supplier relationships.
  • Collate and check supplier invoices for accuracy before passing over to the studio accountant.
  • Continually review phone tariffs and manage changes to new suppliers if appropriate
  • Arrange and attend Board Meeting and write up the minutes and actions.
  • Greet visitors and interview candidates etc., offering them refreshments and directing them to the right person.
  • Document the administration functions and keep an updated ‘Admin Bible’, which can be used for temporary staff standing in to cover holidays, sick etc.
  • Ensure that the building is well maintained, clean and tidy. Advise management of any potential issues with the property.
  • Ensure all office equipment is in good working order. Where maintenance is needed, contact the relevant provider and arrange for necessary repairs.
  • Co-ordinate and book any relevant seminars/festivals/overseas conferences/awards entries/film submissions on behalf of the managing director.
  • Assist with booking and organising the companies social events – parties/wrap and events/celebrations where required and organise other staff engagements such as team building exercises.
  • Manage any company paperwork that requires signatures from the Director, ensuring that copies are signed, scanned and filed in a timely fashion.

Person Specification

  • The ideal candidate will be a creative problem-solver, capable of looking beyond the obvious and will not stop at the first answer.
  • They will be self-motivated – able to work effectively in demanding circumstances.
  • This role requires flexibility, discretion and common sense
  • Candidates applying must have at least 3 years of experience in a similar role within a busy office environment in a TV or film based company. Only candidates with proven experience in a busy production office environment will be considered for this role.
  • Excellent people skills are a must and a collaborative attitude is essential.
  • Confidentiality and accuracy are key attributes for the successful candidate.

Salary: Consistent with industry norms and commensurate with experience. Immediate start.
