Boulder Media requires an Office Manager

Job title: Office Manager
Reporting to: Studio Manager                        

Summary of the role: 

Boulder Media are seeking a well-presented, self-driven and motivated office manager to work in our busy city-centre animation studio.

The successful candidate will be responsible for taking control of all administration aspects of the studio.  They will display a thorough professionalism and ensure a smooth admin function while also looking after the main studio office.  This role often acts as the interface between individual crew members and the company supervisory structure.  This is a wide ranging role which may in time involve managing assistant staff and includes but is not limited to the duties outlined below. 

This role requires a lot of flexibility and common sense, built on several years of experience within a busy office environment in a film or animation studio.  Excellent people skills are a must and a collaborative attitude is essential.  Accuracy is essential and company records must be kept correctly filed and stored.

Responsibilities

  • Act as PA to senior staff – where appropriate, organise their meetings, travel arrangements and appointments – ensure these are communicated to them so they may update their calendar.
  • You will work closely with the Studio Manager and Production Accountant in an administrative capacity for the studio
  • Manage incoming post and distribute to appropriate recipients. 
  • Add content to Boulder Media’s website as appropriate or request new content from the relevant staff when required.
  • Answering calls and taking messages, screening phone calls.  
  • Dealing with Suppliers – ordering all supplies for the studio as well as managing supplier relationships.   Collating and checking supplier invoices for accuracy before passing over to the studio accountant.  Managing and at times changing phone suppliers.  Time permitting; continually review whether we are on the best tariff etc.
  • Arranging and attending Board Meeting and recording/ writing up the minutes and actions.
  • Greeting visitors, interview candidates etc., offering them refreshments and directing them to the right person. 
  • Documenting the administration functions and keeping an updated Admin Bible which can be used for temporary staff standing in to cover holidays, sick etc.
  • Ensure that the building is well maintained, clean and tidy.    Advise management of any potential issues with the property.  
  • Ensure all office equipment is in good working order.   Where maintenance is needed, contact the relevant provider and arrange to have repaired if needed.
  • Co-ordinate and book any relevant seminars/festivals/overseas conferences/awards entries/film submissions on behalf of the studio.
  • Assisting with booking and organising studio social events – parties/wrap and events/celebrations where required and organising other staff engagements such as team building exercises.
  • Upon exit, crew may take some animation that they have worked on with them as part of their show reel.  A responsibility of this function is to get approval for the requested scenes, then provide them to the crew member in advance of their leaving the company.
  • From time to time you will need to manage any company paperwork that requires signatures from the directors, ensuring that copies are signed, scanned and filed in a timely fashion. 

Person Specificiation: 

  • The ideal candidate will be a creative problem-solver, capable of looking beyond the obvious and will not stop at the first answer.
  • Be self-motivated – able to work effectively in demanding circumstances.
  • This role requires flexibility, discretion and common sense – candidates applying must have at least 5 years of experience in a similar role within a busy office environment in a film or animation studio. Only candidates with proven experience in a busy studio environment will be considered for this role.
  • Excellent people skills are a must and a collaborative attitude is essential. 
  • Confidentiality and accuracy are key attributes for the successful candidate.

Salary:  Up to €32k D.O.E.  – immediate start.
